HOTEL PROCEDURES

• FIRST, CHOOSE YOUR HOTEL PREFERENCE
  Please select 3 hotels from the list of current hotels in the order of preference.
  
  
• SECOND, FILL OUT THE ONLINE RESERVATION FORM
  Hotel rooms will be assigned on a first-come, first served basis once we have received your reservation request. You can submit that form two (2) ways:
          1. Click Book Hotel Now to proceed to the online form (which will         process quicker).
          2. If you prefer, you may print the Hotel Reservation Form (PDF).         That paper form can be mailed or faxed to us.
  
  
• THIRD, NOTE YOUR HOTEL TRACKING REQUEST NUMBER
  Once you have submitted your on-line request, a request acknowledgment page and hotel tracking request number will appear. Please print this page for your records.
  
  
• FOURTH, RECEIVE YOUR CONFIRMATION
  You will receive a written confirmation of your assigned hotel directly from DePrez Travel Bureau, Inc. via U.S. mail. Please read this document carefully, as it will contain deposit and/or cancellation information unique to the hotel being confirmed. Pre/post room rates will be included here as well.

DEADLINE
Hotel reservation requests received before April 10, 2007 will have the best hotel selections. After that date room availability may be limited.

DEPOSITS
All reservation requests must be accompanied by a valid credit card (card must expire after May 2007). Those accommodations guaranteed by a credit card that require additional deposit funds (i.e., suites) will be invoiced by DePrez Travel. Those accommodations guaranteed by credit card will be charged one night’s room and tax as a deposit 15-45 days prior to arrival if required by the hotel. All funds will be applied to your room account at the hotel. If you wish to use a check/money order for your room deposit, you must reserve via US Mail, click the Hotel Reservation Form (PDF) link for the paper form.

SUITES
Rates listed for suites are minimum rates. Should you request a suite, a DePrez representative will contact you to answer questions on size, location, rate and amenities. Once a decision has been made on a specific suite type, your confirmation will be processed and mailed.

CHANGES
Any changes in name, arrival and departure dates, accommodation type or guarantee, must be made in writing directly to DePrez Travel Bureau, Inc. by April 10, 2007. Please choose only one of the options listed below to notify DePrez Travel Bureau, Inc. of changes. Please DO NOT submit another online form to make a change or correct a reservation that you have already submitted, use one of the methods below, being sure to refer to your order tracking number.

CANCELLATIONS
Any cancellation of hotel reservations must be made directly with DePrez Travel Bureau, Inc. in writing. Please choose only one of the options listed below to contact DePrez Travel Bureau, Inc. Cancellations made within 2 weeks of the date of arrival will be charged one night’s room and tax.

SPECIAL NOTE: Cancellation of your Spring Convention registration with ICSC will NOT cancel your hotel room.
